Scheduled studies are received by Rad AI Reporting via HL7 with scheduling details, but are not yet marked as completed. Radiologists can open these studies from a report list and read a report without waiting for a completion message. This may be useful in urgent cases, or during HL7 downtime.
When a study completion message is received, the report status gets automatically updated, and an ORU automatically sent if the report has been signed.

Prerequisites
To report on scheduled studies, make sure you’ve been assigned a role that has the following permissions enabled:
- List Reports
- Create Report
- Update Report
- View Report
- Sign Report
- List Documents
- Create Document
- View Document
- View Scheduled Studies
Reporting on scheduled studies
- To find a scheduled study, do one of the following:
- Launch the study directly from an external worklist.

(If you know the accession number) Click the search icon at the top of the main navigation menu on the left-hand side, enter the accession number, and press enter.
💡 Scheduled studies appear with the status “Scheduled” in report lists.
- Launch the study directly from an external worklist.
- Double-click the study to open a new report.
- Complete the report. You can set authors, apply a template, use Omni AI features, and add observations as per usual.

Draft, sign, or preliminarily sign the report (or mark it as “in review”).
⚠️ A HL7 Observation Result (ORU) message will not be sent until Rad AI Reporting receives an inbound HL7 message to confirm the study is complete. The report status is then updated automatically. Learn more.
Viewing reports on scheduled studies
You can view reports on scheduled studies:
- In your Drafts report list (if drafted) or Signed today report list (if signed).

By narrowing down the Reports > All studies list with a filter. Click the All filters button, click the Outbound filter, and select Pending. The list will show any reports on scheduled studies, since an outbound ORU is held from sending until the study is completed.
💡 In report lists, the report status will be appended with S for “scheduled”. - (Admins only) In Admin > Report Manager. Click the filter icon next to the search bar, click the Outbound status field, select Pending, and click Search.
The outbound status will be “pending” until a HL7 message is received confirming that the study status has changed to “completed”. At this point, If the report has been signed, the outbound status will be automatically updated to “sent”. Learn more.
Status updates and report finalization
When Rad AI Reporting receives the HL7 message confirming that a scheduled study has been completed, the system automatically updates the relevant report’s status—removing the appended S for “scheduled”.
An ORU message is only sent once both of the following are true:
- The HL7 study completion message has been received, and
- The report has been signed
Once both are true, the report’s outbound status automatically updates from “pending” to “sent”.

No action is required from administrators. Status updates happen automatically in the background.
Troubleshooting
When trying to access a scheduled study from an external worklist, I see this message: "This exam has not been marked as completed and cannot be dictated."
Make sure you have the View Scheduled Studies permission enabled as part of your role, otherwise this message will appear on attempting to access a scheduled study from an external worklist. See prerequisites.
Frequently asked questions
Is it possible to associate completed studies with incomplete (scheduled) studies?
Yes, admins can do this in the Report Manager. Find the relevant study, open it, and click the Associated Studies tab for association options.
However, it’s not possible to associate studies that are scheduled for the future.
