Searching for a report
To search for a report, select the magnifier icon from the main navigation menu on the left-hand side. You can do this no matter where you are in the application.
The search dialog appears. Here’s how it works:
- Search by accession number, patient name (first name, last name, or both), or MRN.
- The search bar supports partial matches. The top five results are shown automatically, updating as you type.
- Search is case-insensitive—no need to worry about capitalization.
Rad AI lists the different values that match your term. For example, if you entered "Smith," the results would show all names with the first or last name "Smith."
From the list, you can:
- Click a result to show a list of reports matching the term you entered.
- Click View All to see the full list of matching reports.
- Press Enter to execute the search based on the first matching category.
Selecting a report list
Rad AI Reporting comes with default report lists that show reports based on certain criteria.
-
Hover your cursor over the Reports icon in the main navigation menu on the left-hand side. A secondary menu will appear.
- Select a list:
-

-
Signing queue: Shows all “preliminary” and “in review” reports in which you’re assigned as the finalizing author.
-
Drafts: Shows all reports in “draft” status in which you’re assigned as the finalizing or contributing author.
-
Unassigned queue: Shows all reports in “in review” status in which no finalizing or contributing author is assigned.
-
All studies: An unfiltered list of all available studies and reports, sorted by exam date (most recent first).
-
Signed today: Shows all reports signed today in which you’re assigned as the finalizing or contributing author.
- The view will update to show your selected list.
Understanding report list columns
Report lists contain columns that show information relevant to the study or report. Rows are numbered sequentially, and the numbering automatically updates when you sort or filter the list.
Read on for a breakdown of some report list columns and the information they display.
Priority column
The Pr. (Priority) column uses icons to indicate the urgency level of a study, as derived from HL7.
| Priority | Icon | Description |
|---|---|---|
| STAT | The highest priority level. |
Report status column
Primary statuses
The current, main status of the study or report.
| Status | Icon | Description |
|---|---|---|
| Available | None | The study is complete and results are available for reporting |
| Registered | None | The patient has arrived for the scheduled exam (and the study may be underway). |
| Canceled | The order was canceled and the study will not be carried out. |
|
| Draft | An initial version of the report is in progress. | |
| Preliminary | The report has been signed preliminarily, pending final verification. | |
| Signed | The report has been signed and is considered complete from an authorship perspective. The report has not yet been successfully delivered to downstream systems. |
|
| Finalized | The report has been signed and successfully delivered to downstream systems (outbound status = “sent”). |
Auxiliary statuses
The following auxiliary statuses may apply in addition to the statuses listed above, indicated by icons overlayed or appended to the main status.
| Status | Icon | Description |
|---|---|---|
| In review | The report has been marked as “ready for review”, usually by one user handing the report off to another user. Learn more about multi-author workflow. |
|
| Addendum | The report has at least one addendum. | |
| Temporary | The report was created before the study was received via HL7, and must be reconciled later. Learn more about temporary reports. | |
| External | The report was finalized in a system external to Rad AI Reporting. Learn more about external reports. | |
| Scheduled | The study has been scheduled but has not started. |
Indicators
Indicators show extra context about a report at a glance, without changing its primary or auxiliary status.
| Indicator | Icon | Description |
|---|---|---|
| Locked | The report is currently open and being edited by a user, and therefore locked to all other users. Hover over the icon to reveal who has access to the report. |
|
| Associated | The study has been associated with another study. Hover over the icon to reveal info about the associated studies. Learn more about associating studies. |
Outbound status column (admins)
The report’s current outbound status, visible to admins only.
| Status | Description |
|---|---|
| Queued | The report is signed but is waiting to be processed, or is in the process of being sent via HL7. |
| Sent | The report has been successfully sent via HL7. |
| Canceled | Outbound sending was canceled because a user unsigned the report. Learn more about undo sign. |
| Error | There was a problem sending the report via HL7 and the report has not been sent. |
Other columns
| Column | Description |
|---|---|
| Author (F) | The report’s finalizing author, as assigned by a user or automatically by the system. Learn more about multi-author workflow. |
| Author (C) | The report’s contributing authors, as assigned by a user or automatically by the system. Learn more about multi-author workflow. |
| Modified | The date and time of the report’s last status change (e.g. “draft” to “in review”, “in review” to “signed”, or association with another study). |

You can adjust the width of columns in reports lists.
-
Select a report list, e.g. All studies.
- Hover over the column divider you want to adjust.

- Changes are saved until they are changed again.
- Changes apply only to the report list you modify, and only for you.
Hiding and showing columns
Hide or show report list columns by clicking the three-dot icon in the column header.
- To hide a column, click the three-dot icon to the right of a column, and select Hide Column from the drop-down.

Filtering a report list
Report lists come with various types of filters to help organize your view and find the reports you’re looking for.
-
Select a report list, e.g. All studies.
- Either:
-
Click All filters and select a filter from the drop-down menu.
-
Some report lists have default filters already applied, e.g. Report status = Draft. Click the filter to edit it.
💡 You can edit the filters of any report list, even if it means removing or changing its default filters. In this case, an asterisk will appear next to the report list’s name to indicate that it’s been modified.
To reset to default filters, click Reset filters. Filters also reset when you log out of Rad AI Reporting.
-
-
Select one or more filter values to narrow down the report list. The list will update automatically each time you change a value.
💡 Some filters, like Authors, Sites, and Patient, have a built-in search function to help you find the right value. - Click the X icon next to a filter to clear all its values, or click the Reset filters button to return to the list’s default filters (if you’ve modified the default filters).
Filter settings persist for the duration of your user session.
Deleting multiple draft reports/addendums
To delete draft reports or addendums, make sure you’ve been assigned a role that has the Delete Report permission enabled. The “Admin”, Radiologist”, and “Assistant” default roles have this permission enabled by default. Learn more about roles and permissions.
- Select Reports > Drafts from the main navigation menu on the left-hand side.
- Do one of the following, based on how many drafts you want to delete:
- To select one or multiple specific drafts, select the checkboxes of the draft reports you wish to delete. The bar at the bottom of the report list will update to show how many drafts are selected.
- To select all drafts currently loaded in the "Drafts" report list, click the top checkbox in the header row.
-
To select all of your drafts (not just those currently loaded in the "Drafts" report list), first click the top checkbox in the header row. Then click Select all drafts in the bottom bar.
⚠️ By default, the "Drafts" report list is filtered to only show draft reports for which you’ve been set as the finalizing or contributing author. If you edit the “Authors” or “Report status” filters, the checkboxes will disappear because you can only delete your own draft reports/addendums.
- To select one or multiple specific drafts, select the checkboxes of the draft reports you wish to delete. The bar at the bottom of the report list will update to show how many drafts are selected.
-
Click the Delete selected button, then click Confirm.
⚠️ You cannot retrieve a report once it’s deleted.💡 Deleting a draft addendum will remove the addendum but retain the report in “signed” or “finalized” status.
Setting your default report list
You can choose which report list you’ll land on when you first launch Rad AI Reporting, or after completing a report action like “Draft”, “Ready for Review”, or “Sign”.
- Click on your name then select Personal Settings from the main navigation menu on the left-hand side.
- Select, or scroll down to, Report Lists > Default Report List.
- Click the drop-down menu and select your default report list:
- Signed today
- Signing queue
- Drafts
- Unassigned queue
- All studies
Troubleshooting
Why can’t I see all of my organization's sites in the Sites filter?
The Sites filter in report lists only shows sites where your assigned role includes the List Report permission. This is expected behavior—if you don’t have permission to list reports at a site, that site won’t appear in the filter.
If you’re expecting to see a site but don’t:
Confirm that you should have access to reports at that site.
-
Contact your Rad AI Reporting administrator and ask them to check your user settings to ensure:
Your role has been assigned to the appropriate sites.
The role has the List Report permission enabled.
Once your permissions are updated, refresh the report list and check the Sites filter again.
Learn more about assigning roles to users.
Why can’t I see scheduled and canceled studies in the report lists?
Users can only see scheduled and canceled studies in report lists if their assigned role has the required permissions: View Scheduled Studies and View Canceled Studies. Learn more about roles and permissions
In addition, make sure the status filter on the report list you’re looking at does not exclude studies with “registered” or “canceled” status. If in doubt, start from the All studies list.
Why can’t I select draft reports in the “Drafts” report list for deletion?
If you don’t see checkboxes in the “Drafts” report list, it’s either because:
- You don’t have the “Delete Report” permission enabled for your role, or
- The “Drafts” report list is filtered to show reports with authors other than yourself, or filtered to show reports with statuses that are not “Draft”. You can only delete a draft report or addendum if you’ve been set as the finalizing or a contributing author for that report, and you can only delete reports/addendums that are in “draft” status.
By default, the “Drafts” report list is filtered to show only draft reports for which you’re an author. If you’ve edited the filters, refresh the page and you should be able to select reports for deletion.
Learn how to delete one or multiple draft reports/addendums.
