Prerequisites
To configure custom statuses, make sure:

The custom statuses feature is enabled for your organization.
⚠️ Custom statuses are currently only available to a select group of customers. Please contact support@radai.com if you’re interested in getting access. -
You have the “Admin Access” permission across all sites.
💡 Rad AI’s preconfigured “Admin” role comes with the “Admin Access” permission enabled by default. - You understand:
- Which states you want to represent as statuses (for example, workflow states such as “In QA review”, “Pending attending review”, “In billing review”)
- Which user roles should be allowed to use each status
- The sites at which each status should be available
No specific permission is required for users (e.g., radiologists) to apply custom statuses to reports.
Overview
Custom statuses extend the default Rad AI Reporting workflow so you can represent additional steps in your operational process. Your organization may want to capture things like:
- Quality review – E.g., “Send for correction” → “Under correction”
- Attending review – E.g., “Send to attending” → “Pending attending review”
- Billing or coding review – E.g., “Send to billing” → “In billing review”
- Operational holds – E.g., “Hold for prior images” → “On hold”
- Follow-up actions – E.g., “Needs follow-up note” → “Pending follow-up note”
By making these steps explicit in the workflow, you give teams clearer ownership at each stage and more precise filters to focus on exactly what needs to be done.
When you configure a status in Admin > System Config, Rad AI:
- Creates a button in the report workspace (the action a user selects to change the report status)
- Creates a corresponding report list (where reports in that status will appear)
- Tracks the status on the report so it can be filtered, routed, and audited

Adding a new custom status
To create a custom status:
- Select Admin > System Config from the main navigation menu on the left-hand side.
- Scroll down to the Custom Statuses section.
- Click the + button at the top of the Configured Custom Statuses table. The Add Custom Status dialog will appear.
- Fill in the following:

Name — The name of your custom status.

(Optional) Report List Name — The name of the dedicated report list that, by default, is filtered to show only reports labelled with this status. Example: “Under correction”, “Pending review”.
💡 If left blank, the report list name will be whatever you entered in the Name field. -
(Optional) Action Name — A short verb phrase that’s shown as a button in the report workspace, under More. Example: “Send to correction”, “Mark ready for review”.

Color — To help differentiate between different statuses. Colors will appear as circular icons next to report list names and actions.

Sites — The sites at which this status is available. Only users assigned to the selected sites will be able to apply this status to reports.
💡 If left blank, the status will be available across all sites.⚠️ Users at unselected sites will still be able to view this custom status when applied to reports, as well as the corresponding report list. -
Roles — The roles that can use this status. Only users assigned to one of the selected roles will be able apply this status to reports.
💡 If left blank, the status will be available to all roles.⚠️ Users not assigned one of the selected roles will still be able to view this custom status when applied to reports, as well as the corresponding report list.

Name — The name of your custom status.
- Click Add Status. The status will be activated immediately:
- An action button to apply this status now appears in the report workspace for selected sites and roles.
- A report list for this status now appears under Reports in the main navigation menu on the left-hand side.
- Applicable users can now filter report lists by this new custom status.

Deactivating a custom status
To make a custom status unavailable:
- Select Admin > System Config from the main navigation menu on the left-hand side.
- Scroll down to the Custom Statuses section. In the Configured Custom Statuses table, find the status you want to edit.
- Click the toggle under the State column. A confirmation dialog will appear.

Click Deactivate. The status is now marked as “Deactivated”—users cannot apply it to new reports, and the corresponding report list is hidden.
⚠️ Existing reports will retain the deactivated status label.
Editing a custom status
To edit an existing custom status:
- Select Admin > System Config from the main navigation menu on the left-hand side.
- Scroll down to the Custom Statuses section. In the Configured Custom Statuses table, find the status you want to edit.
- Click the pencil icon under the Actions column. The Edit Custom Status dialog will appear.
- Update the fields as desired.
- Click Update to immediately apply your changes.
Using custom statuses
Once a custom status is added and activated, it becomes available at all applicable sites to all applicable roles. Read on to learn what that means in practice.
Applying custom statuses to reports
- Hover over Reports in the main navigation menu, select a report list, and double-click a report to open it.

An action button to apply this status is shown in the report workspace, in the drop-down menu under the Sign button.
💡 The displayed text will be whatever you entered in the “Action Name” field when you added the status. If you leave the “Action Name” field blank, it will default to the “Name” field.

When the action button is clicked, the status is applied and the report is closed.
💡 Custom statuses do not replace the main report status—they act as auxiliary statuses. So if a report is in “Draft” status and you click a custom status like “Send to correction”, the report will be labeled both “Draft” (main report status) and “Under correction” (custom status).
Viewing custom status report lists
- Hover over Reports in the main navigation menu.

A report list that corresponds to your custom status is shown. Click to open.
💡 The displayed text will be whatever you entered in the “Report List Name” field when you added the status. If you leave the “Report List Name” field blank, it will default to the “Name” field. - By default, the report list is filtered to show only reports labeled with that custom status. Click 1 filter to open the filter menu, then click Custom status to view and edit all active custom status filters.
Filtering by custom status in preconfigured report lists
- Hover over Reports in the main navigation menu.
- Click on a Rad AI preconfigured report list (such as “All studies”) to open it.
- Click the All filters button to reveal the filters menu.
- Click Custom status, then check the boxes next to the custom statuses you want to see in the report list.
Viewing a custom status change event in the activity log
In the report workspace (all users)
- Hover over Reports in the main navigation menu, select a report list, and double click a report to open it.
- Go to the Activity tab in the report workspace.
- In the activity log, an event is shown: {user_name} moved this report into {custom_status}.
In the Report Manager (admins)
- Select Admin > Report Manager from the main navigation menu on the left-hand side.
- Use the search bar to find a report to which the custom status has been applied.
- Double-click to open the report details dialog.
- Click the Activity tab.
- In the activity log, an event is shown: {user_name} moved this report into {custom_status}.
Frequently asked questions
Are custom statuses visible in the ORU message/downstream systems?
No. Custom statuses are for your organization’s internal routing and workflows. They aren’t included in the outbound ORU and are not visible in downstream systems.
How do custom statuses work with the main report status?
Custom statuses sit alongside the main report statuses (“Draft”, “Preliminary”, “Signed”, and “Finalized”). Actions like saving as draft or signing still control the main report status; custom statuses add an extra label for routing and workflows without overwriting the main status.
Do custom statuses affect signing or finalization behavior?
Custom statuses control routing and report lists, not signing itself. Signing behavior is still governed by roles, permissions, and existing signing actions.
However, you can create statuses that are typically used before signing (for example, “Ready for attending review”) to make queues easier to manage.
Do users need specific role permissions to view and use custom statuses?
No—as long as users are assigned to roles that have the “List Report”, “View Report”, and “Update Report” permissions, they can apply custom statuses to reports. However, custom states can be made unavailable to certain sites and roles during configuration.
Only administrators with the “Admin Access” permission across all sites can configure custom statuses in Admin > System Config. Learn more about managing roles and permissions.
Can multiple custom statuses be applied to the same report?
No—custom statuses are mutually exclusive. Only one can be applied to a report at any given time.
Can multiple custom statuses point to the same report list?
You can edit a report list’s default filters to show multiple custom statuses. However, you cannot create custom report lists from this—filters reset to default when you navigate away.
When you add a custom status, it maps to its corresponding report list one to one—there’s no way to link it to a different report list, or multiple report lists.
Can I make the custom status action more easily accessible in the report workspace?
